When running outbound AI campaigns, your phone numbers must be warmed up gradually before reaching full dialing capacity. This protects your numbers from being marked as spam, ensures higher answer rates, and safeguards your brand reputation and LLC.
Our platform includes an automated warm-up process that controls how many calls a number can make per day, gradually increasing in stages.
Why Phone Number Warm-Up Matters #
- Without warm-up, if a new number starts making high volumes of calls right away, carriers (AT&T, T-Mobile, Verizon, etc.) may flag it as spam or “scam likely.” This lowers your answer rates and can damage your business trust.
- With warm-up, calls ramp up slowly and steadily, building a trust score with carriers. Numbers that build a history of normal usage are much less likely to be blocked.
Today’s Calls & Limits #
In the Phone Numbers dashboard, you’ll see:
- Today’s Calls → Shows how many calls have been made today vs. the warm-up limit.
Example: 12 / 20 means 12 calls placed out of the 20 allowed for today.
- Warm-Up Stage → Displays the current stage and progress (e.g., Stage 2 (6/7) = day 6 of 7 in Stage 2).
- If the daily cap is reached, the system will display “Reached the limit” and stop dialing on that number until the next day.
“ai call daily limit reached” tag will also be added to the contact when you added from Gohighlevel CRM. You can create automation that will dial the next day.
This ensures numbers never exceed safe usage thresholds.
Phone Number Warm-Up Stages #
Phone number warm-up has 3 stages, each lasting 7 days. The goal is to show carriers consistent, safe call volumes.
- Stage 1
Requirement: At least 10 calls per day for 7 days (within a rolling 30-day window).
After 7 days, the number automatically progresses to Stage 2.
- Stage 2
Requirement: At least 20 calls per day for 7 days (within a rolling 30-day window).
After 7 days, the number progresses to Stage 3.
- Stage 3
Requirement: At least 30 calls per day for 7 days (within a rolling 30-day window).
After 7 days, the number exits warm-up.
After completing Stage 3, the number is fully warmed and can safely handle up to 40 calls per day.
Best Practice: Spread Calls Across Multiple Numbers #
- The maximum recommended calls per number is 40 per day.
- To scale campaigns, it’s better to add more numbers rather than pushing one number to the max.
- Keeping limits lower per number reduces the risk of spam flagging and balances outbound volume across multiple trusted numbers.
Campaign Setup & Maximum Calls

#
When creating a new campaign, you must define:
- AI Assistant to handle the calls
- Phone Number to dial from
- Maximum Calls Per Number Per Day
⚠️ Even after warm-up, always set a reasonable daily call cap. Overloading one number increases the risk of reduced answer rates.
Twilio Compliance & Trust Setup #
Alongside warm-up, proper Twilio setup dramatically improves deliverability and trust:
- Register a Proper Customer Profile in Twilio
- Complete your Twilio A2P 10DLC registration.
- Provide accurate business information and brand verification.
- This ensures your calls are recognized as legitimate business calls.
- Register CNAME in Twilio
- Adding a branded caller ID (CNAM/CNAME) means your calls can show your business name instead of just the number.
- Example: Instead of showing as “Unknown”, your calls may show as “Affordable Care Solution”.
- This boosts trust and answer rates.
How We Protect Your Numbers #
Our platform implements the best practices for call safety:
- Gradual warm-up in 3 stages (10 → 20 → 30 calls per day).
- Hard daily caps to prevent over-dialing.
- Safe maximum limit of 40 calls per number after warm-up.
- Encouragement to use multiple numbers for scaling instead of overusing one number.
- Twilio compliance integrations (Customer Profile + CNAME) to increase trust with carriers.
